A worker hired part-way through a period receives a full period's entitlement instead of a proportion, or receives nothing at all.
Most likely causes
- The accrual plan has no proration rule. Without one, the plan grants the whole period's amount to anyone enrolled on the accrual date.
- Enrolment start does not match the hire date. Plan enrolment is driven by eligibility, and eligibility can begin later than the hire — a waiting period is the usual reason.
- The accrual has not run since the hire. Balances move when the accrual process runs, not when the person is hired.
What to check
- Whether the plan defines a proration formula, and what period it prorates against.
- The worker's plan enrolment date against their hire date — a gap here explains most cases.
- The last successful run of the accrual process, and whether it covered the period in question.
- Whether the worker's assignment has a working-hours pattern, if the plan accrues by hours rather than by period.
Before changing anything
Proration rules apply to future accrual runs. Correcting a plan does not retrospectively adjust balances already granted — those usually need an explicit adjustment, which is worth planning rather than discovering.
