Designing the taxonomy

Design backwards from the reports. Ask for the project P&L, the invoice layout and the utilization report the business wants. Every category and type should appear in at least one of them. The test for every proposed expenditure type. Who will select it? On what transaction? And which report needs it separated? THREE ANSWERS, OR IT DOES NOT GET CREATED. Not two. Three — because a type that somebody will select, on a real transaction, that no report distinguishes, is a list entry making the list worse. The usability constraint, and it is the argument that actually wins this discussion. Timecard and expense users see this list. If it is long, they pick wrong — and your reporting is worse than if you had had fewer categories done accurately. Fewer categories, coded correctly, beats more categories coded at random.
